To hold a virtual meeting using Zoom:
Step 1) The secretary or other organizer creates a Zoom account on zoom.us. The free account is limited to 40-minute meetings. The paid version removes this time limit, and it's about $12.00 month at zoom.us if you use coupon code PORTFOLIOPARTNER-ZOOM, or URJ-ZOOM if the first one doesn't work. We don't get any commissions off those codes: we just found them on the internet at wikibuy.com.
Step 2) The person who created the Zoom account configures Zoom's Settings. We would suggest the following Settings:
In Settings->Meeting
Participants video -> Start meetings with participant video on.
Host Video -> Start meetings with host video on
Join Before Host on
In Settings->Recordings
Disable everything you can
In Settings->Telephone
Mask phone number in the participant list
In Meetings->Personal Meeting Room
Participant Video On
Host Video On
Meeting Options->Enable join before host
Step 3) The secretary or other organizer notifies the potential attendees of the virtual conference room information via meeting directory, e-mail, phone, text, and/or by posting a flyer on meeting room door. We would suggest using Zoom's Personal Meeting ID instead of setting up a specific meeting in Zoom as it's simpler.

Step 4) The secretary or other organizer logs in a few minutes earlier than the scheduled time of the meeting using the same instructions you gave to the other attendees. We have some suggestions on modifying your meeting format to work better with virtual meetings here.
